Default Document Folder Structure

In addition to the failure of Bright Manager to enable accountants to set up a default document folder structure e.g.

Documents from accountant

  • Documents from client

  • Out of date and amended documents

  • Scanned documents to client

I understand that clients can create there own folders. Is there a way in which we can stop this, so that only we can create the folder structure? Otherwise, not only do my staff have to waste time creating a folder structure individually for every single client, instead of globally, but they also have to move client records and delete folders that clients have created.

    Hi James! In answer to your question, we would envisage the folders structure as follows: users would create/import defined folders structures templates depending on the type of clients (ltd companies, ITR, etc.) but also on the services they subscribe to (VAT, bookkeeping, accounts,...). It would be useful if the templates imported/created could be amended if necessary. It would be useful to manage users access to folders (either by clients or by staff), to allow or restrict privileges too (e.g. clients cannot add new folders). As far as our organisation is concerned, it would be crucial to be able to have more than 2 x contacts in BM that can have access to their portal, and for as long as users access can be managed.     Hi @Guest , @Guest - could you provide a little more info on how you would envisage the default document folders working? Would the folder structure be created for a given Client Type or would it be based on the services enabled for a client?

    As far as restricting clients from creating folders, we can certainly keep this in mind as a future quality-of-life improvement.

    I agree, Bright Manager is quite poor in this area (default file structure and number of users, and their privileges/restrictions) compared with, say, www.irisopenspace.co.uk.

    It would be ideal if BrightManager file sharing via Documents would be a more complete solution with setting up privileges and restrictions and adding/managing more than 2 contacts
